The Coffee Cart
This year, I changed the way I organized coffee for the teachers and staff, and it made planning this event one hundred times easier. What am I talking about, my friends? A coffee cart. Hiring a coffee cart to come to us, instead of recruiting volunteers to drive to Starbucks and pick up 60+ lattes was the best decision I ever made.
Not only did the sponsored coffee cover the cost of the coffee cart, we actually made about $20! We had fabulous coffee and it didn’t come out of my Appreciation budget!
I mentioned sponsored coffee. What does that mean? Our coffee cart charged per hour, not per drink, so we charged $5 per drink. I created a sign up (more details about this in the coffee post linked above) and listed every staff member's name. Parents could sign up to purchase coffee for specific staff members. In addition to the sponsored drinks, parents also had the option of purchasing coffee for themselves instead of making their daily trip to Starbucks.
Sponsored drinks + a sign-up eliminated duplication. The sponsor received a gift certificate from me to present to their staff member the morning of the coffee cart. The certificates were not required to order a drink. They simply let the staff members know who to thank for their special caffeinated treat.
I hung promotional posters all around the school for a week leading up to the coffee cart to encourage parents to pre-pay for staff (and personal) drinks, in addition to an email blast and social media posts. The best publicity though were my adorable helpers, who I paid in hot cocoa. They walked around the drop-off areas in the front and back of the school with signs to remind parents about the coffee cart.
Breakfast Assembly Station
After our Master Builders ordered their caffeinated beverage of choice, they ventured over to the staff lounge where the Breakfast Assembly Station awaited them. I needed to man the coffee cart table, so I recruited a parent volunteer to receive and arrange the food items as they were dropped off to the lounge. Getting a parent to volunteer before school can be challenging (we are all getting our kids ready for school, after all) so I offered to buy a latte for whomever agreed to help out.
